Cancellation of registration for the 2026 NIRSA + IDEA® World Conference & Expo and all refund requests must be submitted in writing, via email to:

Refund requests are processed on a sliding scale, according to the following deadlines:

• Refund requests received on or before February 24, 2026, will receive a 100% refund, minus a $50 administrative processing fee
• Refund requests received on or between February 25-March 24, 2026 will receive a 50% refund
• Refunds cannot be granted for requests received on or after March 25, 2026 or for no-shows at the event

Extenuating circumstances may warrant exceptions to the refund policy. For a review of a specific refund amount or for more information about refund requests, please contact NIRSA’s billing department via email.

NIRSA and the IDEA® Health & Fitness Association will use video, photos, and audio taken during this event to promote the two Associations and future events. Your registration form provides NIRSA and the IDEA® Health & Fitness Association with the unrestricted right to use media at its discretion for the purposes outlined above.

Unauthorized reproduction or copying of data presented during the conference is strictly prohibited.  This event may contain private, proprietary, or sensitive information. Some sessions may not permit recordings of any kind. If you’re found recording content for commercial purposes during these marked sessions, your event registration may be revoked.

For the comfort and health of attendees, smoking is not permitted at any event function.

NIRSA + IDEA® World Event Safety & Responsibility Code

NIRSA and IDEA® World are committed to providing a safe, productive, and welcoming environment that promotes a culture of respect for all meeting and event participants and NIRSA and IDEA® Health & Fitness Association staff. When diverging opinions occur, NIRSA and IDEA® Health & Fitness Association encourage all attendees, staff, volunteers, etc. to be mindful of your behavior by being respectful and practicing civil discourse.

All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, NIRSA and IDEA® World staff, service providers, and others are expected to abide by this event safety & responsibility policy. This policy applies to all NIRSA and IDEA® World sessions, meetings, and social events, including those sponsored by organizations other than NIRSA or IDEA® World but held in conjunction with the 2026 NIRSA + IDEA® World Conference & Expo events, whether they take place in public, or private facilities.

NIRSA and IDEA® World work closely with venue staff to ensure a safe and secure environment for all meeting and event participants.  We ask that all attendees report any questionable or concerning activity to NIRSA or IDEA® World staff so that they can take appropriate action. No concern is too small. If you see something, say something; attendees and exhibitors should:

• Always be aware of your surroundings
• Don’t wear your meeting badge on the street; remove it as soon as you leave the event venue
• Don’t carry excessive cash or credit cards.
• Don’t leave personal property unattended anywhere, anytime

If you experience or witness a nonlife-threatening emergency or if you need immediate assistance,  ask any NIRSA or IDEA® World staff member or the on-site security personnel to help you. For life threatening emergencies, call 911 or the local emergency number.

To ensure a safe, professional, and distraction-free environment for all participants, please note the following policies regarding children and minors.

• Educational Sessions: For the safety and comfort of all attendees, children under 18 years of age are not permitted in any educational sessions, workshops, or lectures. This policy helps maintain a focused learning environment and ensures the integrity of the session experience.
• Expo Hall: Children under 16 years of age must be accompanied and supervised by an adult at all times while in the Expo Hall. Please note that strollers may be restricted in high-traffic areas for safety reasons.

We appreciate your cooperation in helping us create a positive and secure environment for everyone attending the conference. I assert that all participation by me, my child/children, in physical activity at this Conference/Convention, whether in sessions, elsewhere on the grounds or offsite at Conference/Convention activities and/or sessions, will be voluntary. In consideration for being allowed to participate in this Conference/Convention, I, on behalf of myself, my spouse, my heirs, and my estate, hereby release, waive, indemnify, and save harmless IDEA Health & Fitness Inc. (“IDEA”), National Intramural-Recreational Sports Association (“NIRSA”) and all IDEA and/or NIRSA employees, volunteers, or agents, from liability from any and all physical or other injuries or harm (including those resulting from the ordinary negligence of IDEA and/or NIRSA, its employees, volunteers, or agents) suffered by me, my child/children, during, or as a consequence of, participation in any and all physical activity associated with the Conference/Convention.

I further understand that there are serious inherent risks involved with all physical activity and that when performing exercise routines or engaging in any similarly strenuous activity, I may, or my child/children may, suffer minor injury, serious injury, or even death. I understand these inherent risks, and I assume all such inherent risks associated with participation in any activities in conjunction with the NIRSA + IDEA® World Conference and release NIRSA and/or IDEA, all employees, volunteers, or agents from liability.

I further represent to NIRSA and/or IDEA that I am, or my child/children are, in excellent health and physical condition and that I am not, or my child/children are not, disabled in any way, taking medication, or suffering from any condition that would prevent me, or my child/children, from safely engaging in such activities or that would make such participation potentially dangerous or harmful for me, or my child/children.

I hereby, for myself, my heirs, executors, and administrators, waive, release, and discharge all claims of damages for death, personal injury, or property damage which I may have, or which may hereafter accrue to me, or my child/children, because of my, or my child/children’s, participation in the Conference/Convention. The release is intended to discharge in advance NIRSA and/or IDEA, their employees, volunteers, and agents from and against all liability arising out of or connected in any way with my participation in the Conference/Convention, even though that liability may arise out of negligence or carelessness on the part of the persons or entities mentioned above. I further understand that serious accidents occasionally occur during physical activity and that participants can sustain mortal or serious personal injuries because of participation.

Knowing the risks of participation, I nevertheless hereby agree to assume those risks and to release and hold harmless all the persons or entities mentioned above who (through negligence, carelessness or otherwise) might be liable to me or my heirs or assigns, for damages. It is further understood and agreed this waiver, release and assumption of risks is to be binding on my heirs and assigns.

NIRSA and/or IDEA is not responsible for failing to perform if failure is caused by circumstances or events outside NIRSA and/or IDEA’s reasonable control, which shall include but not be limited to acts of God or nature, terrorist attacks, war, pandemic, epidemic, union or labor disputes or other events out of its control.

NIRSA and/or IDEA claim no liability for the acts of any suppliers to this meeting, nor for the safety of any attendee at or while in transit to this event. NIRSA and/or IDEA reserve the right to cancel this event without penalty. Attendees who purchase non-refundable airline tickets do so at their own risk. The total amount of any liability of the planners and sponsors will be limited to a refund of the registration fee.

• Harassment, intimidation, or discrimination in any form.
• Physical or verbal abuse of any attendee, speaker, volunteer, exhibitor, NIRSA or IDEA® World staff member, service provider, or other meeting guest.
• Examples of unacceptable behavior include, but are not limited to, acts of bias, verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, NIRSA or IDEA® World staff member, service provider, or other meeting guest.
• Disruption of presentations at sessions, in the exhibit hall, or at other events organized by NIRSA and IDEA® World at the meeting venue, hotels, or other NIRSA and IDEA® World-contracted facilities.
• NIRSA and IDEA® World have zero-tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff.

If you experience harassment or hear of any incidents of unacceptable behavior, NIRSA and IDEA® World asks that you inform Sierra Smith, Director of Events & Experiences so that appropriate action can be taken.

• At some NIRSA and IDEA ® World networking events both alcoholic and non-alcoholic beverages are served. NIRSA and IDEA® World expect all participants who are of legal age and choose to consume alcohol at our events to do so responsibly. NIRSA, IDEA® World, and other event staff have the right to deny service to participants for any reason and may require a participant to leave the event.
• Follow all local and state laws related to alcohol and other intoxicants.

If you have been a part of or witness to a bias incident at NIRSA +IDEA ® World 2026, we ask that you complete a bias incident report to document the incident.

NIRSA + IDEA® World staff reserve the right to take any action deemed necessary and appropriate, including immediate removal from the event without warning or refund, in response to any incident of unacceptable behavior, and NIRSA and IDEA® World reserve the right to prohibit attendance at future meetings or events.
