Conference registration opens on December 1, 2015, following the NIRSA Board of Directors Midyear meetings where the 2016 Budget is reviewed and adopted.
Reservations cannot be made until you register for NIRSA 2016. Once registered, you will be emailed a receipt/confirmation that will include a link to book your room at the Gaylord Palms for the discounted rate. This is the only way to reserve your official NIRSA 2016 conference room. We have received reports that other companies are posing as official travel vendors and may contact you offering housing for your trip. They are not endorsed by or affiliated with NIRSA. Beware that entering into financial agreements with non-endorsed companies can have costly consequences.

Using the conference link provided to you upon registration, you are ensured the best rate at the Gaylord Palms during conference dates. Your rate comes with no booking or service fees, exclusive hotel perks, and more — only available to NIRSA attendees.

  • The conference schedule will revert back to the traditional format with the Expo Grand Opening following the Opening General Session on Sunday, April 3.
  • In additional to the restaurants in the Gaylord Palms, grab-and-go cash food sales and dining tables will be available in the Expo Hall on Monday for Take a Student to Lunch, and near the Expo entrance on Tuesday during the lunch break.
  • Exhibitors and attendees have asked for more unopposed time in the Expo hall which has been accommodated this year.
  • A Dive-In movie will be shown in the outdoor pool on Tuesday evening.
  • Conference kick-off immediately following the Open General Session for students and first time attendees to receive a brief orientation to conference.
  • A new PechaKucha™ educational session format will be showcased during the afternoon on Monday, April 4.
At the Gaylord Palms, you can access conference registration, hotel rooms, educational and general session rooms, the Recreational Sports Expo, the Career Opportunities Center, the Honor Award Banquet, restaurants, shops, gardens, the fitness center, and the spa all without ever going outside. At the same time, sunlight will be pouring down through the atrium skylights, flowers and plants will line the walkways, and the air will be filled by the rush of waterfalls. Outdoor venues include two pools (one is a family fun water park) and a large outdoor lawn surrounded by three separate fire pit areas.
The Gaylord Palms (6000 West Osceola Parkway, Kissimmee, FL) is approximately 20 miles from the Orlando airport and 5-7 miles from numerous Disney theme parks. There are many dining and shopping options along Irlo Bronson Memorial Hwy just 1 mile from the hotel, including a large Publix Market, Walmart Supercenter, Joe’s Crab shack, Boston Lobster Feast, Golden Corral, Logan’s Roadhouse, Denny’s, Ponderosa Steakhouse, etc.
All Conference Social

  • NIRSA will provide bus transportation to and from the All Conference Social throughout the evening. Buses will arrive and depart from the conference center drive adjacent to the Florida Exhibit Hall.

Buses to Disney Properties

  • Transportation is included in your hotel stay. The Gaylord Palms offers shuttle bus service to Walt Disney World theme parks and the Downtown Disney area. A daily schedule is available from the concierge desk.

General Transportation

  • The Gaylord Palms valet desk will be happy to call you a cab anytime you want to explore off-site; a fare into Celebration is $5-$9 depending on the size of the cab.
  • The Gaylord Palms contracts with a transportation company that you can consult with the onsite representative regarding prices.


If you are flying, you have two choices of airports, Orlando International Airport-MCO or Orlando Sanford International Airport.

  • A taxi fare will cost in the $50 range each way from MCO.
  • SuperShuttle offers service between both airports and the Gaylord Palms. Please check their website for prices and options and non-stop and group transfers are available.
  • Uber and Lyft are available in Orlando and Kissimmee.

Once you’ve registered for NIRSA 2016, login to the 2016 NIRSA Annual Conference & Recreational Sports Exposition event community on the NIRSA website. In the discussion forum, view existing inquiries for room sharing and respond with a direct message, or specify your rooming preferences in your inquiry posting.

Conference attendees are automatically enrolled in this convenient event community once they have registered for NIRSA 2016.

There are six on-site restaurants and some coffee shops that have a la carte items. Grab-and-go salads, wraps, and sandwiches for lunches will be staged in the Expo on Monday and just outside the Expo on Tuesday for purchase by cash or credit card.
Complimentary Wi-Fi is included in the negotiated hotel guest rate and will be available in sleeping rooms. All attendees and presenters will have access to the Wi-Fi in the meeting center as well.
The evening of Tuesday, April 5, is set aside for Independent Socials, but you are welcome to host your social anytime! To inquire about available space and options within the Gaylord Palms, reach out to NIRSA Event Manager, Sierra Smith. Sierra will connect you with the right person so you can put on a great event!
As long as the course allows, play will go ahead rain or shine. However, in the event that inclement weather forces cancellation of the tournament, players will be eligible for a partial refund of their tournament entry fee, equal to the direct golf costs. Any mid-round cancellation will be considered a full round played. In the event of tournament cancellation due to weather, please consider donating your eligible refund amount to the NIRSA Foundation.
